Duty Roster is an online tool that hospitals use to prepare and share nurse duty rosters. This notice explains what information the service holds and how it is used.
What we hold
| Information | Why |
|---|---|
| Login email address and an encrypted password | To sign you in and keep each hospital's data separate. |
| Hospital name, department and the owner or administrator of the account | To set up the hospital and manage the subscription. |
| Staff names, roles, teams, shift patterns, rosters, leave and shift requests | This is the roster itself. It is entered by the hospital. |
| Optional WhatsApp or phone numbers of staff | Only so the administrator can send a shift-change message. Visible to the hospital's administrators only. |
| Leave and day-off requests sent by staff, and the in-charge's decision | So the ward in-charge can decide and the staff member is told the answer. |
| A phone alert token, only if you turn on alerts | So your phone can receive duty and shift-change alerts. It is deleted when you sign out or turn alerts off. |
| Short in-app messages about shift changes | Shown to the staff member the message is about. |
| Daily absentee reports (which staff were absent on a shift and the reason) and the number of patients in a ward | So the Nursing Superintendent can see staffing and the nurse-to-patient ratio. The patient count is a single number per ward, with no patient names. |
| Name, mobile number, email, hospital name, city and role, if you fill in the Request a demo form | Only so we can contact you about a demo. It is seen by the owner of Duty Roster only. Tell us if you want it deleted. |
| Payment status (paid-until date) | To switch access on and off. We do not store card or bank details in the app. |
We do not collect patient information. Please do not enter patient names or medical details anywhere in the app.
Who can see it
- Each hospital's administrators can see and change that hospital's roster.
- The Nursing Superintendent can see and edit every ward of the hospital. A ward in-charge can see and edit their own ward. Staff with their own login can see their own ward's roster, which shows colleagues' shifts, and messages about their own duty. They cannot change anything.
- Other hospitals cannot see your data. This is enforced by access rules in the database.
- The service owner cannot see roster contents through the app. The owner can see which hospitals exist, their login emails, their paid-until dates and how many wards, staff and logins each hospital has. As the person who runs the database, the owner could technically reach stored data, and would do so only to give support you asked for or where the law requires.
Where it is stored
Data is stored with our database provider (Supabase) and the web pages are delivered by our hosting provider (Netlify). Our database is hosted in Mumbai, India. Web pages are delivered through Netlify's global network. Both providers process data on our behalf.
How long we keep it
While your subscription is active, and for 90 days after it ends, so you can come back without losing your roster. After that, or earlier if you ask, we delete it.
Your choices
- Ask us to correct or delete your information, or to delete your hospital's whole account.
- Ask us for a copy. Administrators can also use Export / Backup in the app at any time.
- Staff phone numbers can be removed by the administrator at any time.
We use your information only to run the service. We do not sell it and do not show advertisements. The app does not use advertising or tracking cookies; it uses your browser's storage only to keep you signed in.
